Job management software for sole traders (UK, 2026) —
what it should cost and who it is really built for.
Most “job management software for tradesmen” lists are written by the vendors at the top of them and priced for a firm with a van fleet. This one is written for the person who is the firm. It explains the pricing models, shows what the market actually charges, and says which tools are honestly not for you.

The three ways this software is priced
Every tool on the market uses one of these. Knowing which is the fastest way to filter the list.
1. Per user, per month. The team-software model: Tradify, Powered Now, Gas Engineer Software, Workever and Joblogic all price this way. It is fair for a firm of eight, because the eighth person costs the same as the first. It is expensive for a sole trader, because you pay the same seat price as an enterprise customer and the moment you add anyone the bill doubles. Certificates and forms are usually gated to a higher tier as well.
2. Per job volume, unlimited users. ServiceM8’s model: a free tier for 30 jobs a month, then £25, £59, £119 and £269 as you do more work. Generous for a quiet operator; a busy one-person business climbs the ladder quickly, and forms only arrive at the £59 tier.
3. Flat, per business. The sole-trader model: one price whatever you do with it. Quick Lead is £5, £10 or £15 a month with every certificate type included from £10. Two newer AI-first tools also price flat for a single trader — VioTrade at £20 a month and Mucka’s Solo plan at £29 (both checked July 2026).
And then there is “call us”. Commusoft and BigChange do not publish prices. Commusoft says plainly it is designed for businesses with six or more staff. If a vendor will not tell you the price without a sales call, you are not their customer, and that is fine.

What two years costs if you add one person
The scenario most sole traders actually live: year one alone, year two with an apprentice or a partner doing the admin. Monthly billing, ex-VAT, certificates included where they are needed.

Two caveats in fairness. Annual billing knocks roughly two months off most of the per-user tools. And the per-user tools include things Quick Lead does not — live accounting sync, card payments, team scheduling. If you will use those, the extra money is buying something real. If you will not, it is buying a seat at a table you are not sitting at.
What a one-person business actually needs from the software
- Catch the enquiry before it goes cold. For a sole trader the lead arrives by email or WhatsApp while you are under a boiler. The software’s first job is to turn that email into a job card with the customer’s name, address, phone and what they want, so you can reply in thirty seconds from the van. This is the whole reason Quick Lead exists; most team tools assume an office manager is doing it.
- A diary you can trust with one thumb. Not a dispatch board for eight vans. A day view, a route view, and a booking link you can send a customer so they pick a slot themselves.
- Quotes and invoices from the job, not from the laptop that evening. With a PDF the customer can pay from, and an overdue list you actually look at. Whether you need card payments in the app or a bank transfer line on the invoice is a genuine fork — the per-user tools have payments, Quick Lead does not yet.
- The certificates your trade requires, included rather than gated. Gas: CP12 and warning notices. Electrical: EICR, EIC, Minor Works. See our CP12 software guide and EICR software guide.
- Something your accountant can use. Live sync is nicer; a clean CSV in Xero or QuickBooks format once a month is what most sole traders’ accountants actually ask for. Ask yours before paying £30 a month for the sync.
- Offline working. Not negotiable if you work in basements, plant rooms or new-builds. See which apps actually work offline.

Already two or three people and growing → Tradify or Powered Now — per-user pricing starts earning its keep once there is a team to run.
Six or more staff → Commusoft or Joblogic, and this page was never for you. No offence.
