Job management apps that actually work offline —
for the basement, the plant room and the new-build with no mast yet.

“Works offline” is the most abused phrase in trade software. Sometimes it means the whole app runs on the phone and syncs later. Sometimes it means a cached page that will not let you save. This guide sorts the two, using the vendors’ own statements, and gives you a test that takes two minutes.

The three things “works offline” can mean

Level 1 — read-only. You can see today’s jobs because the app cached them. You cannot create, edit or save anything. Useful for finding the address; useless for doing the work.

Level 2 — create and edit, then sync. You can open a job, fill and sign a certificate, write an invoice, and it all sits in a queue on the phone until signal returns, then uploads. This is what a tradesperson means by offline. Quick Lead, Gas Engineer Software and Powered Now each state this on their own sites.

Level 3 — everything. Does not exist for anything that involves email, payments or AI, because those need the internet by definition. Any vendor claiming it is describing Level 2 with marketing on top.

What each vendor says about offline, in its own words

Checked September 2026 (help-centre statements July–September 2026). “No clear statement” means we could not find a definite claim either way on the vendor’s site — not that the app fails.

The airplane-mode test

Run this on every app you trial, including ours. It settles the question better than any feature list.

  1. With signal: log in, open the app once, open one job and one blank certificate so the app has had a chance to store what it needs.
  2. Switch on airplane mode. Wi-Fi off too.
  3. Open the app from the home screen icon, not from a browser tab. Does it open at all? (Level 0 fails here.)
  4. Create a new job and start a certificate. Fill three fields and draw a signature. (Level 1 fails here.)
  5. Save it. Force-close the app. Reopen it. Is your work still there? (Cached-page apps fail here.)
  6. Switch airplane mode off and wait a minute. Log in on a laptop. Has the job and certificate arrived, with the signature? (Broken sync fails here, and it is the most expensive failure of all because you find out weeks later.)
  7. Bonus: repeat step 4 with a half-finished certificate you started online. Some apps handle new records offline but not edits to existing ones.

Where UK tradespeople actually lose signal

Boiler cupboards in basement flats. Plant rooms in the middle of a block with concrete on all six sides. Under-floor voids. Loft spaces with foil-backed insulation. New-build estates before the mast goes live. Farms. Steel-framed commercial units. Multi-storey car parks. The far end of a long Victorian terrace on the wrong network.

None of these are edge cases — between them they are a normal week for a gas engineer or electrician. Software that only works with signal is not software that works for a tradesperson; it is software that works for the office, which is who most of it was designed for.

Offline questions

As of September 2026, Quick Lead, Gas Engineer Software and Powered Now all state offline working on their own websites. Tradify’s help centre states that its web console and mobile app depend on a live internet connection. For ServiceM8, Workever, Joblogic and Commusoft we found no clear statement either way, so test them yourself with the airplane-mode check on this page.
It is a progressive web app: when you add it to your home screen the app shell, your open jobs and the certificate forms are stored on the phone. With no signal you can open jobs, fill and sign certificates, write quotes and invoices, and everything queues and syncs when the connection returns. What it cannot do offline is the parts that need the internet by nature — receive a new email, send a PDF, or use the AI to read a data plate.
It is the original offline software, and for a few jobs a year it is fine. It stops being fine when you need last year’s appliance details, a reminder for next year, or an agent asks for a typed PDF. See the CP12 guide for where the line is.
Signatures are drawn on the screen and stored with the certificate on the phone, then upload with the rest of the record when you are back online. Include the signature in your airplane-mode test: sign offline, sync, then open the certificate on another device and check the signature is there. It is the part of the record that is most often lost in a bad sync, whichever app you use.
Not in a properly built offline app: the data is on the phone’s storage, not in the page. Test this too — fill a form in airplane mode, force-close the app, reopen it, and check the form is still there. If it is not, the app is caching pages, not storing your work.
