• Every appliance and flue checked — location, type, make and model, and whether it is a landlord’s or tenant’s appliance.
• The results of the safety checks — operating pressure or heat input, safety devices, ventilation, flue condition and flue-flow / spillage results, and whether the appliance is safe to use.
• Defects found and action taken — including any warning notice issued and the classification.
• Who did it — engineer’s name, Gas Safe registration number, signature, and the date of the check.
• Whose property — landlord (or agent) name and address, and the address of the premises.
• The next-check date is not strictly required by the regulation, but every landlord expects it and every good app calculates it.

The landlord must then give the record to existing tenants within 28 days, to new tenants before they move in, and keep it for two years. Your job ends when a complete, unalterable copy reaches the landlord — which is why “email a PDF from the property” matters more than any other feature on the list below.

Best for: the one-person gas business that also wants its job emails, diary and invoices in the same app.

What you get: a CP12 template laid out like the paper pad with up to four appliance rows; photograph the boiler data plate and the AI fills make, model, GC number and serial; fill and sign on the phone; email a landlord-ready PDF from the property; a reminder inside the app 30 days before each record is due, with one tap to create the renewal job; a generic Gas Warning Notice; plus nine other certificate types (EICR, EIC, Minor Works and more) on the same £10. Works offline and syncs when signal returns. Your lead and job emails land in a dedicated inbox and are parsed into draft job cards.

Honest limitation: no flue gas analyser Bluetooth import, no oil certificates, no card payments in-app, no live Xero sync (CSV export only), and the reminders are in-app rather than automatic emails to the landlord. Best for: gas and heating specialists who want the deepest gas-trade integrations and do not mind per-user pricing.

What you get: the most gas-specific feature set on this list — flue gas analyser readings imported over Bluetooth (Kane, TPI and Anton models) straight into the certificate with the calibration date stamped; automatic SMS and email service reminders; automatic invoice chasing; pay-online links at a flat £1 per paid invoice; offline apps; and, per its homepage, 7,000+ UK heating and plumbing businesses using it. If you fit a lot of boilers, that analyser import alone can justify the price.

Honest limitation: per-user pricing from £18–£19, and the Xero, QuickBooks and Sage integrations sit on the £30 Pro plan. Two people with accounting sync is £60 a month before VAT.

Best for: a small team that wants gas and electrical certificates, forms and Making Tax Digital VAT in one place.

What you get: a mature, UK-built product with offline working, gas and electrical certificates, unlimited SMS and Xero integration — but note the tiers: certificates and forms, SMS and Xero all start at the Professional plan (£32 per user), not the entry Business plan.

Honest limitation: a sole trader who needs the CP12 is paying £32 per month for a product priced and shaped for teams. Annual billing brings that down by the equivalent of two months.

Best for: a growing team that values two-way accounting sync above everything else.

What you get: a polished, general-purpose job management platform. Native Xero, Sage, QuickBooks Online and MYOB sync and card payments come on every plan, and compliance certificates including gas safety are on Pro and Plus.

Honest limitation: the CP12 needs the £37 Pro plan, per user, and Tradify’s own help centre says the app depends on a live internet connection — no offline working. For one engineer in a cellar that is the deal-breaker. See our full comparison.

Best for: the engineer who does a handful of landlord checks a year and is honest with themselves about that.

What you get: a perfectly legal record with zero learning curve, no login, and it works in any basement. Photograph the completed pad and email the photo and you have covered the landlord’s 28-day duty too.

Honest limitation: nothing reminds you the record is due next year, nothing pre-fills the appliance from last year, handwriting gets disputed, and a photo of a pad looks amateur next to a letting agent’s other contractors. Once you pass roughly two landlord checks a month, the £10 app has paid for itself in re-bookings alone.

Fewer than two landlord checks a month → keep the pad, photograph it, and revisit this page when that changes.

1. Fill one real CP12 with the phone in airplane mode. If the app will not open the form, it is not offline software whatever the brochure says.
2. Look at the PDF on a landlord’s phone. It needs to read like the record they are used to. Letting agents forward these to compliance teams who reject anything odd.
3. Check the appliance row pre-fills from last year. Re-typing make, model and GC number every year is the single biggest time-waster in landlord work.
4. Find out where the reminder fires. In the app? By email to you? By email to the landlord? Each is a different product. Quick Lead’s reminders are in-app, not emailed — we say so because you will find out anyway.
5. Price it for the business you will have in two years, not the one you have today. Multiply per-user prices by the people you expect to add.
