Turn letting-agent works orders into
booked jobs, without the retyping.
For UK trades who work for letting agents: the AI reads the works-order email AND the attached PDF, sets the tenanted property as the job site and the agent’s office as the bill-to.
Built by a Gas Safe registered and NICEIC approved engineer whose own diary is fed by agent works orders. He got sick of retyping the same PDF into a calendar, a certificate and an invoice — so the app does it for you.
Real PDF parsing. Real billing-vs-property address split. Real renewal reminders — shown to you, never emailed behind your back.
From works order to invoiced job in three steps
Five agents, dozens of tenanted properties, and a works order in your inbox most mornings — here’s the whole loop, without the retyping.
The agent emails a works order
A CP12 renewal instruction, an EICR, a maintenance request — often with a PDF work order attached. Give agents your dedicated yourname@mail.quicklead.app address to instruct you on, or forward the email (a one-time auto-forward rule in Gmail or Outlook works too). Nothing changes on the agent’s side.
AI reads the email AND the PDF
The AI parses the email body and up to 3 attached PDFs, then builds a draft job card with the tenanted property as the job site and the agent’s office as the bill-to — two separate address fields, not one muddled one. You confirm with a tap and it’s in your calendar and route view.
Do the job, issue the cert, invoice the agent
Fill the CP12 or EICR on your phone at the property and email the PDF before you leave. Then raise a line-by-line invoice to the agent’s office. Quick Lead tracks the 12-month CP12 and 5-year rented-EICR cycles and shows YOU an in-app reminder when each one comes back around — one tap creates the renewal job.
Software that knows a works order has two addresses
The office in the letterhead is who pays. The property halfway down page two is where you turn up. Quick Lead keeps them straight — generic CRMs with one address field don’t.
PDF work-order parsing
The AI reads the email body and up to 3 attached PDFs per email. When the details live in the attachment — as agent works orders usually do — the property address, contact and job description still land on the draft job card.
Billing vs property address
Two separate fields on every job: the tenanted property is the job site your calendar, route view and certificate use; the agent’s office is the bill-to on the invoice. Built around exactly how agent-instructed work arrives.
A dedicated inbox agents can email
Your yourname@mail.quicklead.app address. Hand it to every agent you work for, or auto-forward their emails to it with a mail rule — either way the AI turns each instruction into a job draft you confirm with one tap.
CP12 & EICR from your phone
10 digital certificate types, including the CP12 Landlord Gas Safety Record and the rented-property EICR. The full certificate suite is included on Pro (£10/mo) — fill it at the property, email the PDF to the agent before you leave.
Renewal reminders — for YOU
CP12s run a 12-month cycle, rented EICRs a 5-year cycle. Quick Lead tracks both per property and shows you an in-app reminder with one-tap renewal-job creation. It never emails the landlord or agent on its own — you decide when to make contact.
Invoice the agent, chase overdues
Line-by-line invoices (VAT optional) billed to the agent’s office. Unpaid invoices carry due dates and an OVERDUE badge, and the AI drafts payment-chase emails for you — one agent at a time or in bulk.
Xero & QuickBooks CSV export
Export invoices in Xero-format or QuickBooks-format CSV — one row per line item, VAT tax types, date-range filtered — so month-end with an agent’s statement stops being a copy-paste job.
Properties, clients & offline
Properties and Clients grouping (Pro) files every property under its letting agent, so “everything we’ve done for Smith & Co” is one tap. Works offline on your phone — fill the cert in a basement flat with no signal; it syncs when signal returns.
Why the works orders never stop
The short version: every rented property needs a gas safety check every year and an electrical check every 5 years — so agent works orders never stop. Under regulation 36 of the Gas Safety (Installation and Use) Regulations 1998, landlords must have every gas appliance and flue in a rented property checked by a Gas Safe registered engineer at least once every 12 months, with the record given to tenants within 28 days. In England, the Electrical Safety Standards in the Private Rented Sector (England) Regulations 2020 require the electrical installation to be inspected and tested at intervals of no more than 5 years, evidenced by an EICR.
Letting agents run those cycles across whole portfolios — which is why the same work order lands in your inbox year after year. Quick Lead tracks both cycles per property and reminds you, in-app, when each one is coming back around — so the renewal job is yours to win, not the next contractor’s.

We haven't padded this page with made-up five-star quotes. Quick Lead is new, built by a working Gas Safe & NICEIC engineer — so here's the deal instead: try every Pro feature free for 14 days, no card. If it doesn't turn agent works orders into booked jobs, you've spent nothing. Email [email protected] and the engineer who built it answers you himself.
registered engineer
"Half of my diary arrives as a letting-agent works order. I built the inbox that reads them so I didn't have to keep retyping them."
A typical works order: PDF attached, agent's office address in the letterhead, the actual property halfway down the page, the access contact buried in the notes. I used to copy each piece into my diary, then again onto the certificate, then again onto the invoice. Quick Lead's inbox does that retyping once, correctly, and hands me a draft job card to confirm.
I'm both Gas Safe registered and NICEIC approved, so agent-instructed CP12s and rented-property EICRs are my bread and butter — every certificate template and every field in Quick Lead has been used by me, on a real tenanted property, with a real agent waiting for the PDF.
If letting agents feed you work, Quick Lead will read their emails and their PDFs, keep the property and the office straight, and remind you when every 12-month and 5-year cycle comes back around.
